Breakdown of feature:
Ignore by Automation (IBA) is a feature to consider only if you have User and Group automation interface setup from your HRMS system (this refers only if you are using UMIT or GMIT). This setting ensures that a user is never inactivated from the LMS or removed from a specific group during automation processes.
There are two levels of IBA, enabled for a specific User or a setting for an entire Group:
Ignore by Automation on the Person will only prevent the user from being deactivated via UMIT automation. Other changes including adding and removing groups or profile updates will still occur,
Examples: If a User has IBA setting enabled:
- If a user is listed in the UMIT file with changes such as different groups and general information. That user account will be updated with those changes.
- If a user is not listed in the file, normally that user is inactivated, however, if they have Ignore by Automation enabled no inactivation will occur and no changes will be applied to the user account.
Ignore by Automation on the Group:
- Users will not be removed from this group during automation. If UMIT file indicates a user is no longer associated to this IBA group, automation will be prevented, and the user will remain in the IBA group. The UMIT will still update other group membership for this user.
- If user is not included in the UMIT file, yet a member of an IBA group in the LMS, the inactivation will be prevented. No changes will be applied to this user.
Location of Feature:
For a user:
First, click on the “Administration” dropdown menu. Then select “Users” from the list:
Second, Select or search for the user. Using their person actions dropdown menu select edit:
Last, on the persons edit page you will notice the “Ignore By Automation” feature located in the “General Info” section of this page. Click the bar to change the status.
For A Group:
First, Click to the “Administration” dropdown menu. Select “Groups” from the list:
Last, Search or Select the name of the group on which you would like to enable the IBA feature. Notice on this page the IBA feature also appears in the “General Info” section of the page:
Here you can toggle on/off the IBA feature for the specific group.
In conclusion, the IBA feature is impactful for users, especially managers and administrators with vast responsibilities and who should never be removed from the LMS. Having IBA turned on prevents these important staff to not being impacted by any UMIT/GMIT alterations or possible errors.
