Required and Optional Training Overview
Beginning with required training which refers to any training that learners are obligated to complete within a specified timeframe. The concept of required training often includes the following elements:
- Due Date: This is the deadline by which the learner must complete the training. It sets a timeframe for the completion of the required training.
- Available Date: The available date indicates when the training becomes accessible to the learners. It ensures that the training is made available to users only when it is intended to begin.
- Completion Date: Once the learner successfully finishes the training, the completion date is recorded. This helps in tracking and documenting when the training was successfully completed.
- E-Signature: Some trainings incorporate the e-signature feature to verify that the learner has actively participated in and completed the required training. An e-signature can serve as a digital confirmation of the learner's and sometimes the manager's acknowledgment.
- Compliance: The requirement for users to undergo specific training is often driven by compliance regulations, industry standards, or internal policies. Keeping users in compliance ensures that individuals within an organization are up-to-date with essential knowledge and skills, meeting regulatory or organizational requirements.
Note: At the bottom of the Required Training panel, is a bar that indicates important dates associated with trainings, which are color-sorted:
-The red bar indicates trainings that are overdue/late including the number of trainings.
-The yellow bar indicates trainings that are due within 10 days including the number of trainings.
-The green bar indicates trainings that are due within 30 days including the number of trainings.
-The blue bar indicates trainings that are due in over 30 days including the number of trainings.
Optional training refers to training that learners have the choice to take based on their interests or professional development needs. The characteristics of optional training typically include:
- No Due Date: Unlike required training, optional training does not come with a set due date. Learners can choose to complete the training at their own pace without the pressure of a deadline.
- Completion Date: Similar to required training, optional training records the completion date once the learner finishes the course. This information helps in tracking the learner's progress and achievements.
- Browse Catalog Section: Optional training is often made accessible to learners through the "Browse Catalog" section of the LMS. This section allows users to explore and discover training courses that align with their interests or professional goals.
- Privilege for Viewing: Access to the "Browse Catalog" section is a privilege given to learners, allowing them to view and select optional trainings. This feature enables users to proactively seek out courses that contribute to their personal or professional development.
Note: Courses are listed as optional training rather than required training as courses use session dates rather than due dates. These session dates are managed by managers or instructors of a course.
Note: A competency that is optional training will prompt a “self-imposed” due date that is used as a reminder for the learner and does not implicate that it is required training or needs to be completed for compliance.
Two scenarios are important for consideration that involve training that is optional training becoming required training and required training becoming optional training.
Scenario 1:
A learner has browsed the catalog and selected an E-Learning module and chooses to register for the module.
Since this is initially considered optional training, the E-Learning module does not have a due date to be completed.
Instead, the learner completes the E-Learning module and it shows as completed on their transcript.
This optional training now has the possibility on becoming a required training based on being assigned to the user by their group manager. In this scenario, since the user has already completed the training it will show on the transcript with a due date. Otherwise if not completed, it will show the in progress or not started status and appear in the Required Training panel on the learner's dashboard.
Scenario 2:
A learner notices they have been assigned a training by their manager which has a due date.
The learner starts the required training and completes the training.
After, their manager decides that this training no longer needs to be a requirement and removes it from the group. This then keeps the completed training but not with a due date. This would also occur if the learner is removed from the group from which the training was assigned.
View From A Transcript
From a learner’s transcript page, you can view trainings that were assigned by a manager or group with a due date indicating required training or trainings that only show completed dates which indicate optional training.
Below shows an example of a required training. This is found by using the filter on due dates and this will list the trainings.
Clicking on one of the trainings shows the learning event for the training with more information including how it was assigned, the available date, due date and completion date.
This works the same for optional training. Clicking the due date filter re-organizes the completion dates to show the optional training. You will notice training with a completed status and only a completed date.
Clicking on one of the trainings displays the information for the learning event which includes the completion date.
In conclusion, required training and optional training embody one of the most crucial points of the LMS as this is a way to ensure that learners are compliant. All the while also giving learners the option to explore training that may provide further information on related materials to succeed within the organization.
