The Importance of the Transcript
A learner transcript in the LMS serves as an important record of a learner's achievements and progress within the system. The transcript provides an official record of the courses, modules, or certifications completed by the learner. It serves as tangible proof of the learner's accomplishments and can be used for professional development, career advancement, or proof of compliance.
Engaging in Filters
Filters for the transcript page are used for getting specific statuses and types of learning objects in the learners’ transcript. This filter tool is important for the usage of combining status and type filters along with entering available on or after/before date for better search optimization. Upon entering the transcript page, please note that all filters are turned on to first show every assignment on the learner’s transcript.
With the “Select Display Fields”, an administrator with the privilege and role can dictate which user information is displayed on all user's transcripts.
This feature, once used, impacts all users’ transcripts, showing the results from the selected display fields that also warn the administrator when using. It is located on any users transcript page under the collapsed section titled “select display fields”.
The “Available Display Fields” shows all the fields that can be used to show on all users transcripts. This works by clicking the blue arrow for the associated display field which then transfers to the “Selected Display Fields”. Next, once reviewed, the administrator can save and this will update all users transcripts to show the new or additional fields.
Example below shows the “start date” field being selected to move from the “Available Display Fields” to the “Selected Display Fields”:
Once saved, this will update all users transcripts which will now show start dates as a field.
Differences between Statuses:
On the transcript page, within the “transcript” section you’ll notice along with the type of assignment is the status of the assignment. These statuses serve as an “at a glance” view of the progress of the learner’s assignment.
Below are a list of the statuses and there meaning:
Complete – A status of complete indicates the training is finished and has a completion date.
In Progress – When an assignment is in progress, it means the learner has opened/launched the training and is continuing to work through it.
Not Started – indicates the learner has yet to launch/open the training.
Awaiting Signature – This status refers to an assignment including an E-Signature which requires the learner’s manager or approving manager to complete with their signature.
Complete (Expired) – When an assignment with the status of complete (expired) is showing, this indicates that the learner has completed the assignment but isnow out of compliance. This should be coupled with a current active assignment with the same object.
Complete (Passed) – The status of complete (passed) gives meaning that the learner has completed their assessment and passed the graded criteria set by the manager, administrator or creator of the assessment.
Complete (Failed) - The status of complete (failed) gives meaning that the learner has completed their assessment but has failed the graded criteria set by the manager, administrator or creator of the assessment. The fail also indicates the learner failed all of their retakes if there was a retake option. This training would likely need to be reassigned to the learner.
In conclusion, transcripts can be used in various ways to filter through the statuses of a user’s assignments, track completion and due dates at a glance and more information based on the users’ assignments.
