Overview of Privileges/Roles and Access:
To ensure smooth operation and effective collaboration within an LMS, it is important to understand the various privileges and roles assigned to different users, highlighting their significance in creating a structured learning experience.
Privileges are a tool that gives access to the LMS based on specific users through roles. These privileges are selected from a large list that is sorted by various categories which helps an administrator decide which are necessary for that role.
These are essential for establishing a structured and collaborative learning environment. Understanding the different roles and their associated privileges enables effective management and utilization of an LMS. Administrators, instructors, learners, and coordinators each have their unique roles, working together to create a rich and interactive learning experience. By leveraging these roles effectively, institutions and organizations can maximize the potential of their LMS.
Typical Learner Role/ Beginner Role:
The learner role is a fundamental role within the LMS that is given by default to a new user. As a learner, individual users typically have the privilege to browse the catalog, enroll in sessions, edit some personal profile information, and complete offered training within the LMS. Learners can engage with course materials such as reading documents/resources, videos, and interactive content. With the learner role, individuals can track their progress, view grades, and receive feedback from instructors, enabling them to monitor their performance and make improvements in their learning journey within their transcripts or records. Overall, the learner role empowers individuals to actively engage with the course content, interact with instructors and take ownership of their learning experience within the LMS environment.
To locate the Role/Privilege page starting from the homepage, select the Administration tab, select “System” and then click “User Privileges”.
From here, you can view the existing roles and the option to create a new role.
To apply the role to a user real time, you must go to the user details page, click “Person Actions”, and select “Edit Roles” from the Person Action dropdown menu.
You are then presented with the page where you can select one or more roles to add to the user's account.
Below is a visual of the typical privileges selected for the basic learner role:
Note: You will notice the green “Show All” button near the top of the page, which allows you to view the unselected privileges. This is helpful if needing to decide if there are more privileges to add to the role. In the event that a privilege needs to be added, simply click on the “Actions” button, click on “Edit”, select the privilege, and click the “Submit” button to save the changes.
The Information Icon:
In the LMS, the "information" icon is particularly useful when selecting privileges and assigning roles to users. By clicking the information icon associated with each privilege option, administrators can access detailed information about the specific privilege and responsibilities associated with that privilege. This information may include a comprehensive description of the privilege capabilities, access levels, and the tasks that can be performed.
The "information" icon helps administrators make informed decisions when assigning roles and privileges to users within the LMS. It enables them to understand the scope and limitations of each, ensuring that appropriate privileges are granted to the right individuals. This information can guide administrators in aligning roles with the specific needs of instructors, coordinators, managers, learners and other users, while also considering factors such as security and administrative requirements.
